Adding attributes

MICE has many input fields for processing event information and contact data. Are you still missing certain fields to enter specific information? It is possible to add your own fields to enter information. These custom fields (called "attributes") can be added as variables in quotes, documents and messages.

Content of this article:


1. Add attributes

Go to Setup and then to Attributes (below the 'Settings' heading).

Click on '+ add new attribute'.

Select the object type to which your own field applies. The different object types are:

  • Events

  • Contacts

  • Organisations

Note that attributes should not be moved to another object type after they have been created. This can cause loss of data entered in the attribute's field.

Add the name of your attribute and a field type. You can choose from the following options:

  • Short text

  • Long text

  • Multiple choice (1 choice or multiple choices allowed)
    Note that multiple choices allowed does not work in the widget (in case you linked an attribute to an extra field)

  • Number

  • Currency

  • Date

  • Time

  • Date & time

  • Yes/No


2. Add to templates and messages

After adding the attribute, the name of the attribute is visible in the variable list of templates and messages.

You can add a attributes as a variable to quotes, documents and messages. The information you enter in the custom field is retrieved automatically.

3. Where to find back the attributes?

3.1 Events

The attributes of object type 'events' are visible when creating or editing an event and can be edited in the event information edit screen (edit event information via the pencil icon in the top left of the event dashboard).

The attributes can then be found under event information (on the left-hand side of the screen) in the event dashboard.

3.2 Organisations and contacts

The attributes of object types 'organisations' and 'contacts' can be fund below the address data (after clicking on the contact or organisation name)

4. Adding variables to a custom planning view

From now on, you can add variables to a custom planning view. This gives you many possibilities to incorporate extra information into the schedule.

A text box where you can place text and variables (see image below) has been added to the custom planning view's settings. If necessary, add text colour to make even clearer distinctions in information for your planning.

Are you missing a variable? Then create your own attributes which you can then also add as a variable to the custom planning view.

You can now add any information to a custom planning view that you could previously only place in documents. As a result, you can now use a custom planning view as, for example, a work list or kitchen list, and you can easily print it out per event, per day, or for several events simultaneously.

5. Link attributes to additional fields of the request for proposal tool

For the request for proposal tool, you can create extra (optional) fields that are added to the last step (where the client fills in contact details) to request additional information.

Now you can link these extra fields to attributes, so that the own field is filled in with information entered by the client.

You can use the attribute as a variable for messages, quotes and documents.
