Request widget settings

Before adding the request for proposal widget to your website, it is important to first prepare your assortment and configure the widget’s settings according to your needs. This ensures that applicants immediately see the correct information and that the request process runs smoothly.

In this article, you will find an overview of all available settings in the request module.


Where to find the widget settings

Navigate to Setup, and in the setup menu to Widgets. Here, you will find all available settings of the request widget. Do you use MICE Pro? If so, first select the specific widget.

The settings of the request widget are divided into several subjects. These are:


Explanation of widget settings per subject

1. Options

Under the heading “Options”, you will find general settings for the widget. You will see three additional tabs containing specific settings: General, Price indication, Additional settings.

Example widget names: Website, Website – Meetings, Holidays.

1a. General

Language and localisation

Set the language used in the request widget. This language is applied to default elements in the widget, such as field labels, the calendar, the overview on the right-hand side, and the buttons.

Primary colour

Set a colour that is used for the buttons in the widget.

Formatting of titles

At each step of a request, a title is displayed at the top. Configure the formatting of these titles: fonts (Google Fonts), font size, and text colour.

Under the settings, a preview is displayed showing how the titles will appear with the current configuration.

1b. Summary

Cost summary

Determine which data is used to show the costs in the overview on the right-hand side within the request widget.

  • Disabled: no costs are shown in the overview

  • Per activity: costs are shown per activity from the selected package

  • Per category: costs are shown per product category

  • Per product: costs are shown for each individual product

  • Total only: only the total price of the costs is displayed

Display product prices

Determine whether the price is displayed under a space, package, and product.

For included products whose product price is part of the package price, the price (zero euros) is never shown.

Display price per person

Set whether a price per person should be shown in the overview (beneath the total price).

1c. Extra settings

Google Analytics Tracking ID

Paste a Google Analytics Tracking Identification code here, which is used to record requests in Google Analytics.


2. Event info

Under “event info”, you define the settings for the first step of a request, where the applicant enters an event type, number of guests, and date.

Heading and description

In the first field, enter the title of the step, which is displayed at the top. In the second field, enter an accompanying text that is shown below the title.

Attention: Do not make the title and description too long. This may discourage applicants and could cause information to disappear from the widget window.

Minimum and maximum date

Optionally, you can set a minimum or maximum number of days, weeks, or years to determine within which period a request may be submitted. When this limitation is configured, dates outside this period will automatically be blocked and cannot be selected as the event date.

Event types

Optionally select one or more event types that applicants can choose from when submitting a request. Leave the field empty if all event types should be offered by default.

If you configure only one event type, it is automatically preselected and the applicant does not need to choose an event type.

💡Tip: With MICE Pro, you can create multiple request widgets. This is very useful, for example, if you have a separate page on your website for each event type, where you place a request widget that allows only that specific event type to be requested.


3. Locations

During the second step of a request, the client selects a room. Under the heading “locations”, you define the settings of this step.

Allow space selection?

Configure whether the step for selecting a space is included in the request process.

👉 Yes: the client can select a space (in step 2).
👉 No: the applicant cannot select a space (the step will be skipped).

The step for selecting a space is the only step that can be skipped. All other steps are required and important, ensuring that you receive a complete request that can be directly converted into a quote.

Enter a title (heading) that is displayed at the top of the step. The description is shown below the title.

Layout

The layout for rooms can be ignored, as this setting is linked to an older version of the request widget (still used by a small number of users).

Maximum number of rooms

Optionally, set a maximum number of rooms that are initially visible in the step.

If more rooms are available than the number initially shown, a button will appear at the bottom allowing the applicant to view the remaining rooms.

Add “no preference” option

Determine whether the applicant is allowed to skip the step of selecting a room. If this setting is enabled, the option “skip step” will be shown. In this case, packages will not be filtered based on room.

Allow selection of room layout?

Configure whether the client is given the option to select a room layout. Selecting a room layout is always optional.


4. Package

Heading and description

Enter a title (heading) that is displayed at the top of the step. The description is shown below the title.

Maximum number of packages

Optionally, set a maximum number of packages that are initially visible in the step.

If more packages are available than the number initially shown, a button will appear at the bottom allowing the applicant to view the remaining packages.

Display package even with one result?

It may occur that you offer only one package for an event type. If this option is enabled, the step in which an applicant selects a package will be skipped, and the single package will still be assigned in the background.


5. Activities

Heading and description

Enter a title (heading) that is displayed at the top of the step. The description is shown below the title.

Suggestions

Configure whether, and in what way, product suggestions for upselling are displayed: no suggestions, a tile view with an image, or a list view.

💡 Tip: Choose the tile view; this makes the suggestions stand out clearly and increases the chance of upselling.

Enable timeline?

Determine whether the client is allowed to adjust the times of activities (for example, changing a break that starts at ten o’clock to eleven o’clock).

👉 Yes: the applicant can adjust the start and/or end time of an activity, either directly or through the timeline that appears at the top of the screen.
👉 No: the applicant cannot adjust any times, and no timeline is shown.

Allow modification of activity duration?

If this option is enabled, the applicant can modify the duration of activities (for example, extending a thirty-minute break to a full hour).

This option is only available if the setting “Enable timeline?” is set to yes.

Single products

Heading and description (for single products)

Enter a title (heading) that is displayed above the individual products. The description is shown below the title.

Suggestions (single products)

Similar to product suggestions for activities, you can configure how individual products (products that are purchased for the entire day rather than for a specific activity) are presented. The options are: no individual products, a tile view with an image, or a list view.

Position of single products

Configure whether the single products are shown above or below the activities.

👆 Above activities: the single products are displayed at the top of the step.

👇 Below activities: the single products are displayed at the bottom of the step.


6. Contact details

Heading and description

Enter a title (heading) that is displayed at the top of the step. The description is shown below the title.

Position of contact details

Determine at which point in the request process the client must enter their contact details.

👆 Top: the contact details are requested in step two.
👇 Bottom: the contact details are requested in the final step.

Event and contact details

It is important to be able to follow up on a request, which requires certain information. All this information is collected in the (standard) final step of a request. Determine which fields are required or optional. The available fields are:

  • Event information:

    • Name of event

    • Group name

  • Contact details:

    • Company name

    • First name and last name

    • Email address

    • Telephone number

  • Address details:

    • Street name and house number

    • Postal code

    • City

  • Extra fields (see below)


7. Extra fields

It is possible to add additional fields to request extra information. These fields are added to the step in which the applicant enters their details.

Heading and description

Optionally, set a heading and description that are displayed above the additional fields. If these fields are left empty, the extra fields will be shown directly below the default fields (beneath the address details).

Add item

To add an extra field, click the “+ add item” button (see screenshot below), then enter the field name and select the field type. Determine whether the field is required or optional.

Types of extra fields

The following field types are available for an extra field:

  • Single-line text: The applicant can enter one line of text.

  • Multi-line text: The applicant can enter multiple lines of text.

  • Choice options: The applicant can select from predefined options.

  • Yes/no question: A checkbox is added that the applicant can tick (equivalent to “yes”).

  • Attribute: Link the extra field to an existing custom field (attribute).

Required or optional

Determine for each additional field whether it is required or optional.

The applicant cannot submit a request if a required (additional) field is not filled in. The field will be highlighted in red to indicate this to the applicant, and a warning will be displayed (see image below).

💡 Tip: Although it is possible to make additional fields required, we recommend using this option sparingly. The more required input fields there are, the higher the barrier for clients to submit a request, which may result in a decrease in conversion.


8. Confirmation

Configure whether a thank-you message is displayed after a request is submitted, the client is redirected to another page, or a confirmation email is sent.

Thank-You Message

Create a custom thank-you message to be shown after the client submits their request. This message will appear immediately after clicking 'Request Proposal'.

Redirect to Thank-You Page

You can set up a dedicated page on your website where users are redirected after submitting a proposal request. Simply add the link (URL) to this page in the 'Redirect to Thank-You Page' field.

Confirmation Email

Enable the confirmation email and compose a message that will be sent to the client’s provided email address after they have submitted their request.


Set up the request widget with the setup wizard

To simplify and streamline the process of setting up the request module, we've designed a user-friendly wizard. This tool provides real-time feedback, allowing you to see how your changes will appear in the request module.

By default, the mobile view is displayed. You can switch to the desktop view to optimise the module's appearance for both smartphones and computers.

Switching Between Mobile and Desktop Views

The mobile view is displayed by default on the right side of the screen. To switch to the desktop view, click the desktop icon below the preview (see the image below).

Download QR code

Each request for proposal tool has a widget link. A QR code is also available, which you can easily download via the QR icon next to the widget ID (see image). When someone scans the QR code, they are taken directly to the request widget.
