Preparing invoicing data

Invoicing has never been easier. Read more how MICE enables you to thoroughly prepare the data for your invoices, so you can invoice with confidence and ease.

What data do you prepare?

Where do I add invoicing details?

From the main menu, go to setup and under settings, choose invoicing.


Administration data

It is important that your administration details are entered in the administration environment so that these details are automatically processed for invoicing. You can enter the following data:

  • E-mail address: your organisation's billing email address

  • BCC email address: Set a BCC address if you want to receive all sent invoice emails in your own mailbox

  • Phone number

  • Address line (street name + house number)

  • Postal code

  • City

  • Country

  • Chamber of Commerce number

  • VAT number

  • Bank account name

  • Bank account number


Default payment term

This is the payment term used by default for all invoices.

While sending an invoice, you can still adjust the payment term for the specific invoice.

You can also enter a payment term per organisation under 'billing' details (by editing the organisation via 'contacts' or from an event).


Product codes and ledger numbers for deposit invoices

Link a product code and rate group to each VAT rate used for deposit invoices.

At the settings, all VAT rates known from the rate groups in your system are shown.

Not every organisation uses these settings. If necessary, discuss with your accountant whether these settings apply to you.


Invoicing identifier template

Set which invoice numbers are used for your invoices created in MICE. On the right-hand side of the input fields you will find the number of the next invoice (see image below).

You can add your own letterhead to personalise the invoice template. This should be uploaded in an A-4 format.

Make sure that visual elements do not overlap text, so that the invoice can be read (scanned) without problems by accounting systems and scanning software.

Show address details

If the option to 'show address details' is activated (green), your organisation's address details, Chamber of Commerce number and VAT number will be placed in the top right-hand corner of the invoice.

Set up payment instructions

Add payment instructions to be placed at the bottom of every invoice by default. You can add separate instructions for invoices and credit invoices.

It is possible to add variables to the payment instructions. As you are used to, you can add a variable by clicking the magic wand icon above the text box.


Set up e-mail messages

There are a number of message templates available for invoices that you can prepare in advance. These messages are retrieved while sending invoices and can then still be customised.

Invoice message templates are available for:

  • Invoice

  • Credit invoice

  • First reminder invoice

  • Second reminder invoice

  • Invoice reminder

Where can I set up these messages?

From the main menu, go to setup and in the setup menu go to messages.
