The new interactive quotes are available. In this article, we explain the (new) approach and take you through all the possibilities this innovative module has to offer.

Interactive quote in a dynamic client environment

The new interactive quote module integrates seamlessly with a dynamic client environment. As an event planner, you can continue managing all event details in the event dashboard as usual, and then generate and publish a quote that is directly presented within the client environment.

Clients can view the quote, leave comments, select product suggestions, and much more. To approve the quote, clients must sign an agreement.

Agreements

To request approval from the client for your proposal, you can now offer one or more agreements. The client can find these agreements in the client environment, where they have the option to sign and download them directly.

Why use an agreement instead of a signature on the quote?
To provide more interactive options and creative flexibility, we’ve chosen to separate these elements. Unlike the interactive quote, which is not intended to be printed, the agreement is designed for easy printing and download.

In MICE, agreements are formatted as A4 documents, similar to other documents, making them easy to print and save as PDFs. Clients can then store these agreements in their system, and they serve as legal documents.

Tip: One more advantage of using agreements, is that you can offer agreements for various proposals beyond just the quote.

Adding an interactive quote template

You can add an unlimited number of interactive quote templates in MICE. This allows you to prepare a unique (quote) experience for each event type (such as a meeting or a wedding).

Follow these steps to add a quote template:

  1. Go to "Setup" (via the main menu on the left side of your screen).

  2. In the setup menu, navigate to "Templates."

  3. Under "Templates," click on "Interactive Quotes."

  4. Click the "+New Template" button at the top right of the screen.

  5. Select a pre-designed template from the store for a fast start, or opt for a blank template to retain full creative control.

  6. You can now create your new template. Be sure to give your template a name right away!


Language and theme settings

An interactive quote template has some basic settings that you can set in advance.

Language (MICE Pro)

With MICE Pro, you can set the language for a quote template. This setting determines the language display for automatically generated information in sections such as the event schedule and cost overview.

Pro tip: Create one or more quote templates for each language you use to communicate with your clients.

Theme settings

For each quote template, you can configure several settings in the "Theme" section:

  • Headings (H1 and H2): Choose the font, size, and colour for headings and subheadings.

  • Text: Set the font, size, and colour for the body text.

  • Brand Colour: Select the brand colour, which will be applied to buttons and links.

  • Background Colour: Set the default background colour for sections, such as behind images.


Adding Tabs

Tabs in a quote help organise the content, making it easier for the client to quickly find relevant information, which can speed up the decision-making process.

To add a new tab, click the plus icon below the name and language of the quote template. Enter the name of the tab straight away. You can always edit the tab name later by selecting the tab and clicking the pencil icon.


Arranging a quote template with sections

You arrange a quote (template) by adding "sections." Each section comes with its own functionality and settings.

To add a new section, simply click the plus icon within an empty tab.

Or by clicking the button "add section" above or beneath an existing section.

Explanation of each section

Here are the different sections you can use:

  1. Text (with or without image)

  2. Event schedule

  3. Cost overview

  4. Image

  5. Gallery

  6. Video


1. Text Section

The text section is a crucial element. You can add information as text, which can be displayed in multiple columns and include an image behind or alongside the text.

You can also add variables to a text field. These are automated fields that will be populated with information from the event. To insert a variable, click on "Insert Variable" in the text formatting toolbar (highlighted in yellow in the image below).


2. Event Schedule

The event schedule section is automatically filled with details from the event's schedule. In the template, random 'dummy' information is provided to give you an idea of how the content will be presented.

Click on the event schedule section to access the settings, where you can choose which information to display or hide.

Show product suggestions (Upselling)

By activating "Show Suggestions," products added as suggestions in your event will be displayed in the event schedule of the quote.

The client can easily select/add a suggestion directly within the interactive quote. This feature is ideal for upselling!


3. Cost Overview

The cost overview is automatically filled with financial details from the event. In the template, random 'dummy' information is provided to give you an idea of how the content will be presented.

Click on the cost overview section to access the settings, where you can choose which information to display or hide.


4. Image

Add an image block when you want to include a specific image in the quote. You can also choose an image section that allows you to place text alongside the photo.

Click on the image to modify it, and adjust its size by dragging the (orange) borders.


5. Gallery (coming soon)

If you want to display multiple images within a tab, you can use the gallery field. There are two gallery modes available:

  • Grid Mode: Displays multiple images in a collage.

  • Slideshow: Shows a series of images in sequential order.


6. Video (coming soon)

Visual content engages clients more effectively than text. You can add a URL link to a YouTube or Vimeo video to enhance your quote.


Section formatting

To the right of each section, you'll find a range of additional options (which vary by section):

  • Move: Click the arrows to move the section up or down.

  • Format: Align columns, set spacing, adjust the background, hide or remove images, set gradients, and choose colours.

  • Delete: Click the trash can icon to remove the section.
