Event documents

The “Documents” tab is the central location where you manage all files and documentation for a specific event. From the initial quote to invoices and individual files, you can find everything here.

Within the “documents” tab of an event, you find four sections:


1. Quotes

Here you see all quotes linked to the event.

  • You can create a new quotation using the + New quote button.

  • All quote templates (in the correct language) are retrieved when you want to create a new quote for the event.

  • Each quote shows its status (e.g. Draft, Accepted on [date]).

  • Click on a quote to open, edit or send it.


2. Documents

This is where you find all the documents created for the event. These include the work and kitchen lists for which you can create document templates.

  • Add a new document using the + New document button.

  • All document templates (in the correct language) are retrieved when you want to create a new document for the event.

  • The status is indicated for each document (e.g. Draft, Accepted on [date]).

💡Tip: It is also possible to create a new document via the arrow in the event dashboard.


3. Invoices

Under Invoices, you can manage invoices for the event.

  • Create an invoice by clicking the button + New invoice.

  • It is also possible to link external invoices to the event (click here for more information).

  • The overview table shows, among other things, the invoice number, invoice date, amount excluding VAT, and status.


4. Files

This section is intended for separate files, such as a location fact sheet, map, safety regulations, or other supplementary documentation.

  • Upload a file using the + Upload file button.

  • Each file shows:

    • the file name (clickable)

    • a padlock icon (visibility for client)

    • a bin icon (delete)

Making files visible in the client environment

Easily make files available in the client environment. This is useful if you want to share files with the client without including them in the quote that is presented in the client environment.

The padlock icon allows you to determine whether a file is visible or not in the client environment:

🔒 Closed padlock → file is not visible to the client

🔓 Open padlock → file is visible in the client environment

Shared files can be found in the client environment under the “Files” tab.
