Client environment

With the new generation of quotes, we are taking a pioneering step in client experience. These quotes are presented in a dynamic and interactive client environment that takes efficiency and ease of use to the next level. Moreover, we offer numerous additional functions and activities that can be used by both you and the client, making the entire quote process not only simpler, but also more fun and effective.


Working method for the event planner

As an event planner, you process all data in an event as usual. After this, you create and offer the interactive quote, after which it is available in the client environment. As event planner, you do not need to perform any actions in the client environment, as this environment has been specially developed for your clients.

Giving clients access to the client environment

By offering (publishing) an interactive quote, the client will receive a link to the client environment via email. Click here for more information


Display and options for the client

We believe that not only will you love interactive quotes, but also your client will find organising an event much easier and clearer. In the new client environment, which is integrated in your interactive quote, your client can now arrange the most important matters directly themselves and find an overview of the linked documents.

Action points overview for client

The client has an overview of the actions that are open, such as an agreement that needs to be signed or an open invoice. This looks as follows (see image):

The client can:

  1. View, download and sign agreements.

  2. View, download and pay* invoices.

  3. Submit and/or correct invoicing details.

  4. Select product suggestions (just as easily as one is used to in the request widget).

  5. Add comments on specific activities.

  6. Confirm actions.

  7. View and send messages (available soon).

* The payment function is available if the Mollie integration is set up in your system.


1. View, download and sign agreements

To agree to your proposal, the client can view and sign one or more agreements in the client environment. An agreement can also be easily downloaded.


2. View, download and pay* invoices

The client can see all (sent) invoices linked to the event in the client environment. The invoice can be easily downloaded as a PDF file.

* The payment function is available if the Mollie integration is set up in your system.


3. Submit and/or correct invoice details

At the request of many, it is now also possible for the client to enter (or update) invoicing details. This action item can also be found in the client environment.

Currently, invoicing data are not yet synchronised to the organisation in MICE. (Available soon)


4. Select product suggestions

For upselling, as an event planner you can also offer product suggestions that the client can select in the interactive quote. In the event script, you add the suggestions, as shown in the image below.

The client can then select the suggestions in the interactive quote by clicking on the product name or image.

The client can then submit the adjustments (in this case added suggestions) by clicking on the ‘send’ button at the bottom of the screen.

After that, the action still needs to be confirmed by the client. Read more about this later in this article.


5. Add comments on activities

The client can add a comment to a specific activity (e.g. to indicate that they want to start earlier or change the location). To do this, the client clicks on the plus sign to the left of the activity name.

6. Confirm actions

After the client has clicked on ‘send’ to submit the adjustments, one needs to leave personal data (first name, last name, email address). Finally, one clicks ‘send’. You receive a notification in the back office about this action.
