Request inbox

With the new request inbox, all incoming event requests are brought together in one central place. This gives you an immediate overview and allows you to act faster; from the overview, you can convert a request directly into a quote. This first version intentionally focuses on the essentials: from request to quote, without distractions.

What can you do with the request inbox?

All requests submitted via the request widget, as well as events created manually, are automatically added to the request inbox.

  • Suggested schedule

    For each request, a schedule is automatically suggested based on the available information.

  • Check availability

    If a request is scheduled at the same time and in the same space as another event, a warning message will appear (above the run sheet).

  • Manage event information

    All event and customer information is immediately visible and can be edited if needed.

  • Relationship management

    Create a new organisation and contact person straight away, or link the request to an existing relationship.

  • Publish a quote in one click

    Once everything is correct, you can create and publish the quote directly from the request inbox.


Explanation of the request inbox

The request inbox is divided into three different columns:


1. Overview of requests

On the left side of the request inbox, you will find an overview containing all requests. All events with the status ‘request’ are listed here (this includes requests submitted via the request widget and integrations, as well as new manually created events.)

For each request, you can immediately see key information you may want to act on, such as when the event takes place, how many days or weeks ago it was created, and the total revenue.

By clicking on a request, the details will appear on the right-hand side.


2. Event schedule and action buttons

Selected a request? In the centre of the screen, you’ll see all the necessary information about the request and the programme (run sheet). The following details are displayed (from top to bottom):

  • Event name

  • Check availability*

  • Event_ID (this changes once a quote has been sent)

  • Request date (creation date)

  • Event language

  • Event date

  • Number of guests

  • Total event value

  • Event schedule

*Check availability

If a request is scheduled at the same time and in the same space as another event (with the status in option, confirmed or completed), a warning message will appear above the schedule.

Click ‘Check planning’ in the message to go directly to the relevant day in the schedule. This allows you to immediately see which other events are planned.

With MICE Pro & Regular, you will be redirected to ‘Occupancy’.

With MICE Start, you will be redirected to the ‘Calendar’.

Go to event (action button)

Use the ‘Go to event’ button if you want to make changes to the event run sheet.

Tip: Open the link in a new tab if you want to switch quickly between the event (run sheet) and the request overview. Right-click on ‘Go to event’ and select ‘Open link in new tab’.

Create quote (action button)

Click the ‘Create quote’ button to generate a quote directly for the request. Choose the desired quote template and send the quote by publishing it.

When publishing the quote, a quote message is automatically loaded and the contact person’s email address is added as the recipient (provided the contact person has been created or linked to an existing relationship).

Please note: make sure you first complete the organisation and contact person details (on the right-hand side of the request) so the contact information is retrieved automatically and your contact management is set up correctly.

Automatic overview

A request for which a quote is published is automatically removed from the overview of open requests, keeping your inbox clear and organised.


3. Event and customer details of a request

On the right-hand side of the request inbox, you’ll see the general event and relationship details of the selected request. This is the same screen used when manually creating a new event.

Event details

  • Type (event type)

  • Event date

  • Number of guests

  • Event language

  • Event planner

  • Event status (status 'request')

Contact details

  • Organisation

  • Contact person

First create a new organisation and contact person, or link the details to an existing contact. Do this before communicating with the client and sending a quote.

Notes and custom fields

You can immediately add a note for the selected request. This note will also appear in the event.

Has the client completed extra fields in the request widget? This information will be displayed automatically (below the ‘notes’ field).
