Switching between MICE and your email program is now a thing of the past. Recently, our team has been busy developing a general MICE inbox. We are proud to introduce the new general inbox.

All messages in once place

In the general inbox, you find all messages in an overview, just as you are used to in mail programs. Here, each conversation shows the name of the company or contact person, the subject line (name + event date) and the first two lines from the last message sent in the conversation. The subject line may vary, namely if a separate invoice is sent or a new message is created from the general inbox.

Click on a conversation in the overview so that it opens and is easy to read back in the large window.


Message type and subject line

As you are already used to when sending messages from an event, you can both send outgoing messages to the client (or other recipients) and send internal notes visible only to colleagues. The option can now be found under the arrow near the window to type a message. Here you can also change the subject if necessary.

Tip: Use the N key (note) and R key (reply) when your cursor is not yet in the writing box to quickly switch between the various modes.


Tag colleagues

You can also tag a colleague (added as a user in your account) in an internal note. Your colleague will receive a notification about this. Tag your colleague by typing "@" first. A fold-out will then appear where you can select your colleague's name.


Create new message

From the new general inbox, you can create a new message. After this, you can immediately add the recipient(s) and subject line.

You can still send messages from an event as usual. If this happens, the message is also immediately visible in the general inbox.


Drafts

Previously, a drafted message disappeared when you left the page. A message now remains as a draft as soon as you return to the conversation so you don't have to retype the message. You can delete the draft using the bin next to the send button.


Send message (recipients, cc & bcc)

Above your drafted message you will see the recipient(s). By default, the primary contact and all other event contacts are already added here.

From now on, you can also mail an e-mail as CC (copy) or BCC (blind copy). Click on cc or bcc after which you can add email addresses.

Note: Your default BCC address is not shown here. This will be added when sending the message.


Search and filter options

To quickly find back one or multiple messages in the general inbox, you can use the search function and filter options.

In the general inbox, you can:

  • Search (by event, subject, message content)

  • Filter by conversation status (all, handled, open)

  • Filter by user (users with the role 'scheduler')

  • Sort by messages ("newest first" or "oldest first")


Personal signature

You now have the option of adding your personal signature to messages.

After you click in the window to type a message, your signature will (if set) automatically be added to the messages. For internal notes, the signature will be omitted. You can still edit the signature in your message if you wish to.

The signature is displayed in grey during the creation of a message, simply because it was added automatically and can still be edited. After sending the message, the signature will take on the set colour.


Link message to event

Once a message is automatically generated by the system (e.g. when sending an offer), it is automatically linked to the event. As soon as a client responds to the message, it is added to the existing conversation automatically.

New messages drafted from the general inbox, separate incoming e-mails and new separate (non-linked) invoices are not directly linked to an event. In these cases, you can link the conversation to an event. Do you have a conversation but no event yet? Then simply create a new event via the button in the conversation. You will then immediately land in the conversation of the new event.


Message details, resend and delete

By clicking on the 3 dots (see image below) next to a message, you can view the message details. This will show all email addresses the message was sent to and on which date + time. If sending a message has failed, you will usually find the reason for failed delivery in the details.

You can also easily resend the message.

Or delete the message. The message has obviously already been sent but will no longer be visible in the conversation.


Quickly switch between conversation and event

If a conversation is linked to an event, you can quickly go to the event by clicking on the event name above the conversation.

Real-time number of (open) conversations

In the main menu, you will find the new message environment. If there are open/untreated conversations, this is also shown in the main menu. This number is constantly updated.

Initials / profile picture of user in conversation overview

A user's initials are visible in the message overview if the last message in the conversation was sent by the user. This therefore indicates whether and by whom the message was handled (the conversation is automatically marked as complete). When the client sends another message, the user's initials disappear so that it is clear that the message has not yet been dealt with.

For automatic messages (with no author attached), no initials are visible.

Marking conversations as open/completed

A conversation remains marked as open until it has been replied to or if it marked as completed manually. An open conversation can be recognized by the blue circle to the left of the conversation in the overview.

By clicking on the check mark at the top right of the conversation, you mark it as open or completed. Handy to decide for yourself which conversations have/have not been dealt with.

Replying to a message

You can respond simply by clicking in the type window or by pressing the reply button; the arrow shown at the top right of the conversation.

Export conversation (save and print)

From the general inbox, it is now also possible to export conversations to save or print them. To do this, click on the 'printer' icon at the top right of the conversation.
