Link your MICE agenda with an external agenda

With the iCal link you can synchronise your planning with your digital agenda or calendar. This is set up easily and we help you with that providing some instructions in this article.

The agenda is read out by digital agenda services where after the agenda is synchronized. MICE has no influence in the frequency and times of synchronization.

The integration is one-way from MICE to the external agenda.

Events with the following statuses are synchronized to an external agenda:

  • In option (also expired options)

  • Confirmed

  • Completed


Set up synchronization

First, go to setup and in the setup go to Integrations.

Copy the complete iCal URL.


Google Calendar

Go to Google Calendar and click on the plus '+' sign at 'other agendas'. Now choose 'via URL' and paste the iCal URL.


Microsoft Outlook

At the bottom of the page, select the calendar (see image below)

Select add agenda in the navigation panel

Select subscribe on the web
Enter the URL of the agenda
Select import


iCal Apple

  1. In the Calendar app on your Mac, choose File > New Calendar Subscription.

  2. Enter the calendar’s web address (paste the iCal URL from MICE), then click Subscribe.

  3. Enter a name for the calendar in the Name field, then click the adjacent pop-up menu and choose a colour.

  4. Click the Location pop-up menu, then choose an account for the subscription.

    • If you choose your iCloud account, the calendar is available on all your computers and devices that are set up with iCloud.

    • If you choose On My Mac, the calendar is saved on your computer.

  5. To get the calendar’s event attachments or alerts, deselect the appropriate Remove tickboxes.

  6. Click the Auto-refresh pop-up menu, then choose how often to update the calendar.

  7. To prevent alerts from appearing for this calendar, select “Ignore alerts”.

  8. Click OK.

    To make changes later, click the name of the calendar, then choose Edit > Get Info.


Synchronised data

The data below is synchronised to the external calendar.

  • Event status: for events under option, [under option] is listed before the event name. For confirmed and completed events, there is nothing.

  • Event name

  • Date & start and end time

  • Primary location and company name

  • Number of guests (from the event)

  • Planner

  • Booking message: this is linked to an old field that has since become unavailable in the system.

FAQ

What happens to a cancelled event in the external calendar?

Once an event is cancelled in MICE, it disappears from the external calendar at the next synchronisation moment.
