In MICE, it is possible to add variables for automation. A variable in MICE is an automated field which (eventually) is filled automatically with information from an event.

Variables are available for the following elements:

  • Request for proposal widget's thank you message and confirmation email

  • (Automated) messages

  • Document (templates)

  • Invoice payment instructions

  • Quotation (templates)

  • Planning views

The list of available variables can vary per feature of type of message.

How to add a variable?

You can add a variable by clicking the 'magic wand' icon in the text format option bar.

After you clicked on insert variable, click the pre-selected variable to open the list of all available variables. Variables are sorted per category. The name of the category refers to the section from which the information is retrieved.

Fallback

It is optionally possible to set a 'fallback' for variables. If the variable cannot be filled in when the information is missing from an event, the text you entered as fallback will be filled in. Setting a fallback is not always applicable.

Fallback example

Variable = Start date / time

Fallback = No date

Editing a variable field in a quote or document

While editing a quote or document, you can see that a variable field has been filled in with information from the event. By placing your mouse cursor on the variable field, you can see what information is linked to the specific field (as shown in the image below).

If you manually edit information in the variable field, it is leading and the field is no longer variable (so the information is fixed).

Example: Variable processed from field to quote

Variable 'event name' in a quotation template

Name of an event in the event dashboard

Result of the variable in a quote, filled with information from the event
