Add, arrange and offer agreements

In the constantly evolving business world, flexibility is crucial. A recent development in MICE is the separation of a quote from the formal agreement. Now, you can offer separate agreements that clients can sign and download. But why this change, and what are the benefits?

A separate agreement provides flexibility for dynamic quotes without the limitations of printing or signing, allowing companies to present interactive and visually appealing proposals.

Practical aspects of an agreement

With a standard A4 format, it’s easy for clients to print and download as a PDF. In the MICE industry, an agreement holds the same form as a document.


Add agreement template

Follow the steps below to add an agreement template.

  1. Go to setup (via the main menu on the left-hand side of your screen).

  2. In the setup menu, go to templates.

  3. Click on agreements in the setup menu (under templates).

  4. Click the +new template button at the top right of the screen.

  5. Now you can create the template. Name the template right away!

Arranging an agreement template

In MICE, an agreement (template) has the same format as a document (template). The same sections are available, so an agreement can be built in the same way as a document.

Offering an agreement

You can offer an agreement while publishing information to the client environment. To do this, use the ‘publish’ function.

Offering an agreement via publishing

An agreement is visible to the client in the customer environment after it has been published. You can decide whether you also immediately send an e-mail or planner message while offering the agreement. Follow the steps below.

  1. Open the event for which you want to send an agreement.

  2. In the event dashboard, click on ‘update quote’.

  3. Click the ‘publish’ button at the top right of the quote.

  4. Decide whether you want to send an email and/or scheduler message to the contact.

  5. Under ‘add an agreement’, select the desired agreement template.

  6. Click publish.

  7. The agreement is offered and finds the client in the client environment.🥳

Download/print agreement including signature?

Clients can download agreements from the client environment. However, due to GDPR reasons, the signature is not included. If a signed copy is needed, the agreement can be downloaded/printed via the event documents. Simply open the agreement and click on 'print' at the top.

All created and offered agreements can be found in the event dashboard under the ‘documents’ tab.
