Guestplan integration FAQ

Written by Tjeu Hendrickx

In this article, you will find all frequently asked questions regarding the integration between MICE and Guestplan.

Is your question not listed here? Please let us know via the chat.

Does the client receive automatic messages from Guestplan for reservations created via MICE?

No. For reservations created via the MICE integration, the client does not receive automatic messages from Guestplan. This ensures that all communication regarding events takes place entirely through MICE.

Will duplicate reservations occur in Guestplan when the integration is activated?

If reservations have already been created manually in Guestplan for events from MICE that qualify to be created as a reservation, duplicate reservations will occur. In this case, ensure that you delete the manually created reservation in Guestplan. The integration will create a new one if the reservation it created "does not exist" and the event still meets the requirements to create a reservation for it.

Can I also link table numbers?

No, it is only possible to link a space from MICE to a room/space from Guestplan, not to specific tables within that room.

At which status is the reservation transferred?

Events with the status 'in option', 'confirmed', or 'completed' are placed in Guestplan. Events that are cancelled are removed from Guestplan.

The table combination for my reservation is incorrect. Why is that?

The integration attempts to take the settings of your restaurant in Guestplan into account as effectively as possible, but also makes every effort to book reservations that might not meet those settings.

What happens if a group that is too large is placed in a room?

Groups of any size are synchronized to Guestplan to prevent you from missing reservations. If your group in MICE is larger than the capacity of your room, you will receive a warning in Guestplan.

I am receiving emails stating that the synchronization has failed. What should I do? There are several scenarios that can cause adding or modifying a booking in Guestplan to fail. To prevent you from missing information in Guestplan, we notify you of this.

The system does not block the entire room. Why is that?

MICE creates a booking in Guestplan with the number of guests specified in MICE. The table layout (and the blocking) is subsequently the responsibility of Guestplan. Currently, the API does not offer us the option to block an entire space.

Can we automatically add files as attachments in Guestplan?

No. Attachments are not supported via the API, so we unfortunately cannot automatically add documents. Therefore, we do not do anything with attachments from MICE.

What happens to existing reservations when a space (from MICE) and a room (from Guestplan) are unlinked?

When the link between a space in MICE and a room in Guestplan is removed, all reservations created in that room via the integration are also removed.
