Automatically create bookings in Zenchef based on your activities in MICE.
With the MICE Operations → Zenchef integration, activities from MICE are automatically converted into reservations in Zenchef.
What are you looking for?
1. How does the integration work?
In the integration, spaces in MICE are linked to areas in Zenchef. When you plan an activity in MICE at a linked space, a reservation is made in the corresponding Zenchef area.
Synchronisation
Activities in events that are in option, confirmed or completed - scheduled for today or in the future - will be synced to Zenchef.
When you add, change or delete activities in MICE, changes are reflected in Zenchef almost immediately (at most within 30 minutes).
❗Important: to avoid duplicates, any manually created reservations (in Zenchef) for events coming from MICE should be deleted before the integration is activated.
The integration works from MICE Operations to Zenchef, not the other way around. This means all changes must be processed in MICE first, after which they will appear in Zenchef. Make sure to always make your changes in the (event in) MICE.
Cancelled and deleted events
Events cancelled in MICE are also cancelled in Zenchef. If an event is deleted in MICE, it is also removed from Zenchef. If you delete a reservation in Zenchef that still exists in MICE, it will automatically reappear.
(Automatic) Table Layout
The table layout can be edited freely in Zenchef. It will not be overwritten by updates from MICE. The table placement is determined only once - when the reservation is first created - and is not automatically updated after that. This gives you the flexibility to adjust the reserved tables once the reservation has been added to Zenchef.
There is one exception: if you move (part of) the reservation to another area, it will be moved back to the original area that is linked to the MICE space where the activity takes place.
Automatically Merged Activities
Activities scheduled in the same space, with overlapping or continuous times, are automatically merged into one reservation. Keep the following automatic actions in mind:
For merged activities, the names of the activities can be found behind the event name (hover over the reservation with your mouse), so you can clearly see which activities were merged.
For merged activities, the number of guests is taken from the activity with the highest guest count.
Note that even though you can link multiple MICE spaces to one Zenchef area, activities scheduled in different spaces are not merged. They are created as separate reservations in Zenchef.

Adding notes to a reservation
Although it is not possible to synchronise notes from MICE to Zenchef, you can add information in the reservation details in Zenchef. It is important to add your notes above or below the MICE-generated notes (otherwise your text will be overwritten during the next synchronisation).
